Overview
A busy household in Colts Neck, NJ is seeking a highly organized, proactive, and tech-savvy individual to join the fully staffed team as a junior personal assistant. The schedule would be working from the home Monday through Friday, from 9am-5pm. The candidate should already be living locally or a commutable distance to Colts Neck. The role is seeking an immediate hire.
Responsibilities
- Calendar Management: Schedule and manage meetings, appointments, and travel arrangements using tools like Google Calendar, Outlook, or scheduling software (e.g., Calendly).
- Email Management: Oversee and prioritize incoming emails, responding to urgent inquiries and organizing communications efficiently.
- Document Management: Prepare, format, and maintain files (both digital and physical) using cloud-based storage (e.g., Google Drive, Dropbox).
- Data Entry & Reporting: Manage spreadsheets, create reports, and input data accurately using software such as Excel, Google Sheets, or custom databases.
- Communication: Act as a liaison between internal teams and external clients/vendors, ensuring clear and effective communication.
- Project Coordination: Assist with project timelines, deliverables, and follow-ups.
- Task Management: Create and maintain daily/weekly to-do lists, monitor deadlines, and help ensure the timely completion of tasks and projects.
- Personal Errands: Handle occasional personal errands such as shopping, scheduling personal appointments, or managing household needs.
- Research & Purchases: Conduct research for personal or professional purposes and assist with online shopping or order management.
- Software Proficiency: Manage and maintain proficiency with software and productivity tools (e.g., Microsoft Office Suite, Google Workspace, Zoom, etc.).
- Tech Support: Assist with troubleshooting minor IT issues, software installations, and updating or maintaining tech devices.
- Social Media Management (Optional): If applicable, assist with social media content scheduling and posting using tools like Buffer, Hootsuite, or others.
Requirements
- Legal to work in the US
- Have a valid and clean driver's license
- Minimum of two years of experience in an administrative or personal assistant role, preferably with exposure to tech and digital tools in a UNHW household.
- Tech Skills: Advanced proficiency with productivity software (Google Suite, Microsoft Office), communication platforms (Slack, Zoom), and cloud-based tools.
- Strong Organizational Skills: Ability to multitask, prioritize, and meet deadlines in a fast-paced environment while keeping anonymity and accountability as a high priority.
- Attention to Detail: Accurate in managing information and performing administrative tasks.
- Problem-Solving: Ability to troubleshoot tech issues and find creative solutions to administrative challenges.
- Communication Skills: Excellent written and verbal communication skills.
- Discretion & Confidentiality: Comfortable handling sensitive and confidential information with professionalism.
