You are looking for a trusted key position where organizational talent, discretion, and responsibility come together? In this role, you will support an established Family Office in the comprehensive management of the private affairs of an internationally active family — with a high level of autonomy, a diverse range of responsibilities, and direct impact.
Your Responsibilities
- You assume overall responsibility for managing and organizing household staff across four private properties (Munich, Austria & France), including scheduling and vacation planning, while ensuring smooth operations at a 5-star service level.
- You are responsible for the selection, recruitment, onboarding, and management of new employees within the private household environment.
- You manage the household budget and oversee costs, invoices, and expenses.
- You manage the private properties holistically: from ensuring operational readiness to planning and coordinating renovation, repair, and maintenance projects, as well as supervising external service providers.
- You oversee comprehensive calendar and appointment management and work closely with the extended assistant team (including Business Assistants) to ensure optimal coordination of all activities.
- You plan, book, and organize private and business travel, as well as family vacations.
- You manage the private vehicle fleet, including maintenance, repairs, and administrative processing.
- You handle and monitor personal finances, as well as the administrative management of invoices, insurance policies, and contracts.
Your Profile
- You have at least 6 years of relevant professional experience as a Personal Assistant and/or House Manager in a premium or high-end environment.
- You possess a strong understanding of discretion, data privacy, and the handling of highly sensitive information.
- You impress with a confident and professional demeanor, a strong service mindset, as well as flexibility and resilience in handling changing priorities.
- You are highly organized, with excellent communication skills and a strong team spirit.
- You have leadership experience in managing and recruiting household staff; knowledge of budget management and basic accounting is considered an advantage.
- You are fluent in German and English (minimum C1 level); French language skills are a plus.
- You are highly IT-savvy and particularly confident in using Microsoft Office applications.
- You hold a valid Category B driver’s license and are willing to travel occasionally for business, as well as work flexible hours (including evenings and weekends).
