A well-established private estate in Kirtlington, Oxfordshire, is seeking an experienced, dependable and highly organised Part-time Bookkeeper to oversee the day-to-day financial and administrative functions of the household.
The successful candidate will work as part of a small, established estate team comprising a House Manager, Maintenance professional and part-time Gardener. They will also work closely with the household’s external accountants, ensuring that all financial records, payments and reporting requirements are managed accurately and within the relevant deadlines.
This is an excellent opportunity for an experienced local bookkeeper seeking a stable, long-term position offering considerable flexibility. The role will require one to two days per week, with the precise hours open to discussion and able to be arranged around other professional or family commitments.
The position will operate on a hybrid basis. The Bookkeeper must be available to attend the property when required, although the majority of the work may be completed remotely.
Key Responsibilities
- Overseeing the day-to-day financial functions relating to the household and estate.
- Maintaining accurate and up-to-date financial records.
- Processing, recording and monitoring household invoices and supplier payments.
- Managing payments relating to household utilities, fire alarm services, vehicle tax and other ongoing property expenses.
- Reconciling bank accounts, credit cards, supplier statements and household expenditure.
- Coding expenditure accurately against the appropriate accounts.
- Preparing and supporting VAT returns and submissions.
- Managing payroll payments and associated financial administration.
- Liaising and working closely with the household’s external accountants.
- Preparing accurate financial information, records and supporting documentation for accountants and other professional advisers.
- Reviewing expenses relating to the management company and checking the associated transactions.
- Preparing and issuing invoices to leaseholders, as required.
- Monitoring incoming payments and any outstanding balances.
- Assisting with cash-flow monitoring and routine financial reporting.
- Maintaining organised digital and paper accounting records.
- Responding to routine supplier, payment and invoice queries.
- Working alongside the House Manager to arrange household appointments and coordinate relevant bookings.
- Providing general financial and administrative support to the estate.
- Maintaining complete discretion regarding the owners’ personal and financial affairs.
Candidate Requirements
- Previous bookkeeping or accounts experience.
- A strong working knowledge of standard bookkeeping procedures.
- Experience managing invoices, reconciliations, VAT returns and payroll payments.
- Experience using accounting software – specifically Xero.
- Excellent numerical accuracy and meticulous attention to detail.
- Strong organisational and administrative skills.
- The ability to work independently, use initiative and take ownership of responsibilities.
- A diligent and methodical approach, with the ability to manage competing tasks and consistently meet deadlines.
- Confidence liaising with external accountants, suppliers, leaseholders and members of the estate team.
- A professional, trustworthy and discreet manner.
- Clear written and verbal communication skills.
- The right to work in the UK.
Previous experience within a private estate, family office, management company, owner-managed business or similarly confidential environment would be advantageous but is not essential.
Due to the requirement to attend the property when needed, candidates should live within a practical commuting distance of Kirtlington. A driving licence and access to a car would be required due to the location of the property.
Working Hours and Arrangement
The role will require approximately one to two days per week. The precise days and hours are open to discussion and may be arranged around the successful candidate’s existing work or family commitments, subject to the requirements of the household.
The client is open to engaging the successful candidate either through payroll or on a self-employed basis.
Salary
£25-35 gross per hour, depending on employment arrangement and the successful candidate’s experience.
