Overview
A private principal with multiple residences in New York City, the Hamptons, South Florida, and London seeks an experienced, highly organized, proactive Chief of Staff to provide comprehensive personal, lifestyle, and household support. This is a unique opportunity for a seasoned professional who thrives in a dynamic, fast-paced environment and enjoys managing the many moving parts of an active international lifestyle. The ideal candidate will serve as the principal's trusted right hand, overseeing a complex calendar, coordinating extensive domestic and international travel, managing personal appointments and social engagements, and providing high-level coordination across multiple residences. While the properties already have established household teams, this individual will ensure seamless communication, organization, and continuity across locations without managing the properties directly. The position is primarily remote and ideally suited to a New York City-based candidate who can go to the property twice a week when not in residence and meet with the principal in person about two days per week when she is in New York, with occasional visits to the Hamptons and international travel. Flexibility, discretion, excellent judgment, and the ability to anticipate needs are essential. It is mostly remote and is ready to hire immeditely upon finding the right person.
Responsibilities
- Manage an extensive and frequently changing personal calendar, including appointments, meetings, social engagements, and philanthropic commitments.
- Coordinate complex domestic and international travel arrangements, including commercial flights, accommodations, transportation, reservations, and detailed itineraries.
- Proactively manage last-minute travel changes, cancellations, and scheduling adjustments.
- Oversee the principal’s personal appointments, medical scheduling, follow-ups, and day-to-day administrative needs.
- Coordinate social engagements, cultural activities, museum-related commitments, and special events.
- Serve as a central point of contact between the principal, household staff, vendors, and other relevant parties.
- Provide high-level coordination across residences in New York City, the Hamptons, South Florida, and London.
- Collaborate with existing House Managers and household teams to ensure seamless operations and communication.
- Assist with household staffing schedules, coverage, and personnel coordination as needed.
- Monitor household needs, coordinate replenishment of personal and household items, and ensure residences are prepared for the principal’s arrival.
- Research and coordinate special projects, personal requests, travel experiences, and lifestyle services.
- Maintain organized records, schedules, reservations, and important personal information.
- Anticipate needs, identify potential issues, and proactively implement solutions.
- Travel domestically or internationally on occasion for in-person meetings, household matters, or special projects.
Notes on potential travel schedule:
NYC is the main base, but with the caveat that the job is primarily work from home. Typically, when the principal is in town, she will want to meet in person two times per week max at the NYC residence. While in residence in Water Mill (Hamptons) during June - July, a house visit one day per week should be expected. During the two (six weeks at a time) times in residence in London each year, it is likely there is one visit for maybe 2-3 days. Palm Beach during January - March is a new residence, so not entirely sure but maybe 1-2 days a month would be needed. In the interim, there would be the usual telephone calls, emails and occasional zooms.
Requirements
- Must be legally authorized to work in the United States.
- Significant experience as a Personal Assistant or Executive Personal Assistant
- Prior experience supporting UHNW individuals or families with complex lifestyles.
- Exceptional calendar management, scheduling, and organizational skills.
- Extensive experience coordinating domestic and international travel.
- Strong understanding of professional service standards.
- Excellent written and verbal communication skills.
- Highly discreet, trustworthy, resourceful, and professional.
- Ability to work independently, manage competing priorities, and remain organized in a constantly changing environment.
- Strong problem-solving abilities and exceptional attention to detail.
- Comfortable coordinating with established household teams and external service providers.
- Flexible and adaptable to accommodate occasional schedule changes and time-sensitive requests.
- Must be willing and able to travel domestically and internationally as needed.
- Ideally based in New York City and available for regular in-person meetings.
- A polished, personable demeanor and a proactive, service-oriented approach.
- Strong professional references and a demonstrated history of successful private service experience.
