Overview
A growing family in the West Village of NYC, are seeking a full-time house manager/personal assistant. This is an existing role and the schedule will be 30-50 hours per week (with the potential for this to expand in due course, as their family grows). Some hours may be outside the typical 9am-5pm schedule but these will be primarily remote and kept at minimum. Candidates will be able to work at least 2 days per week in a remote capacity each week, and the rest in-person. The family’s current primary residence is in NYC. However, they are also building another home in CO, and in due course there will be more for the candidate to do/manage as it pertains to this property.
Responsibilities
- Staffing Management (4 hrs per week on average): manage payroll systems, track staffing expenses, track tax & regulatory related deadlines, identify/oversee staff healthcare requirements
- Household Errands (4 hrs per week on average): pick up packages, handle returns, drop off mail/documents
- Apartment Manager (4 hrs per week on average): oversee and schedule routine and unexpected maintenance, monitor/arrange small household projects/contractors, maintain house manual and basic tech at home
- Event Planning (4 hr per week on average): arrange dinners/holiday parties/birthday parties by tracking and scheduling vendors, monitoring budgets and guiding setups
- Scheduling (8 hrs per week on average): keep the family on track and organized, make sure personal errands are completed and deadlines are not missed
- Travel Assistance (6 hrs per week on average): coordinate booking flights, car transfers, occasional activities and support home departures and returns.
- House Manager (6 hrs per week on average): track, save, categorize receipts, ghost write communications with contractors - this will mostly pertain to the family’s home in CO. Once construction is complete, candidates should expect to take on more tasks related to the management of this property.
Qualifications
The following are skills that will set the candidate up for success (that can also be developed on the job through dedicated hours for learning):
Technical Skills:
- Quickbooks
- Gcal, Google Drive, Google Sheets, Gmail or other scheduling apps
- Basic Excel
- Payroll software (GTM)
- Knowledge of local restaurants and cultural activities
Qualitative skills:
- Staff managerial skills
- Travel arrangements (the family enjoy doing this themselves for now, while they have the capacity to do so)
- Cross-estate management
- Accounting/bookkeeping
Requirements
- Candidates must have at least 5 years' verifiable experience working in a similar role, with knowledge of NYC (an established vendor network is a huge plus)
- Candidates should be trustworthy, organized, proactive, discreet, with clarity and tact as it pertains to communication and general professionalism
- Candidate should have impeccable attention to detail
- US passport, Green Card or EAC
- Available to start ASAP
Salary and Benefits
- $135k+ highly DOE
- 2 x week PTO + 8 federal holidays
