A discerning private client is seeking an exceptionally poised, detail-oriented, and proactive Personal Assistant to provide discreet, high-level support. This role demands superior organizational skills, absolute confidentiality, impeccable judgment, and the ability to anticipate needs in a fast-paced, dynamic environment. Only candidates with direct, high-level Personal Assistant experience supporting private families or principals will be considered. Must reside in the Palm Beach area (or immediate surrounding regions) for hybrid in-person/remote work.
Key Responsibilities
- Serve as primary liaison between household staff, family office, vendors, and service providers to ensure seamless coordination across multiple locations
- Manage household and office inventories; oversee procurement of supplies, luxury goods, and special-order items
- Coordinate complex, fluid schedules including appointments, meetings, social engagements, and family commitments
- Plan and execute detailed domestic and international travel arrangements (flights, luxury accommodations, ground transportation, detailed itineraries)
- Handle travel documentation (passports, visas, etc.) in close collaboration with the family office
- Assist with personalized gifting, bespoke luxury procurement, and unique client requests
- Schedule and manage medical appointments and overall calendar oversight
- Support planning and execution of special events, family gatherings, and celebrations in partnership with the family office
Schedule & Compensation Details
- Part-time position: Monday–Friday, 9:00 AM – 2:00 PM
- 25 hours per week guaranteed (year-round)
- Hybrid role requiring regular in-person presence at the client’s Palm Beach residence, with flexibility for remote work as needed
Qualifications & Requirements
- Minimum 5+ years of direct experience as a Personal Assistant in a private family office or equivalent high-net-worth environment
- Outstanding organizational, multitasking, and proactive problem-solving abilities
- Exceptional written and verbal communication skills
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel) and familiarity with project/task management tools
- Highly polished, professional demeanor with utmost discretion and confidentiality
- Proven track record of working independently, anticipating needs, and thriving under pressure
- Meticulous attention to detail and calm, resourceful approach in a fast-moving environment
