Overview
A high-functioning family of five (three school-age children) seeks an experienced, proactive Family Assistant to serve as the operational backbone of a busy dual-career household. The ideal candidate is warm, organized, discreet, and genuinely energized by both people and logistics. We are looking for someone with a calm, loving demeanor who is equally comfortable and connected with both boys and girls. Especially a pair of boys and a girl.
The schedule is approximately 40 hours per week with a flexible structure. The two most critical windows are morning (7–9am) to help get the children out the door, and afterschool through bedtime (typically until 8pm). Given that split, they are open to creative scheduling — for example, alternating between a 7am–5pm shift and a noon–8pm shift or a split shift — They are collaborative on structure and will work with the right candidate to find a rhythm that works for everyone.
Responsibilities
House Management
∙ Own daily household operations: vendor relationships, maintenance scheduling, supply ordering, and home systems oversight across multiple floors
∙ Manage household calendar, family schedules, and all appointment coordination
∙ Handle travel logistics, including ground transportation, packing lists, school trip prep, and family trip coordination
∙ Oversee grocery ordering, pantry management, and household inventory (family follows a gluten-free diet; nut restrictions apply)
∙ Liaise with building staff, contractors, and service providers
∙ Coordinate with family on administrative tasks and special projects as needed
Childcare & Family Support
∙ Provide engaged, reliable childcare coverage for three children, including school pickup, afterschool activities, homework support, dinner, and bedtime
∙ Serve as the primary point of contact and daily coordinator for any au pairs in residence — setting schedules, filling coverage gaps, and maintaining consistency for the children
∙ Plan and execute activities, playdates, and weekend outings
∙ Manage school communications, forms, and family administrative follow-through
∙ Travel with the family as requested, including summers and school breaks
Personal & Family Errands
∙ Run household and personal errands, including dry cleaning, pharmacy, gift sourcing, and returns
∙ Support family events, hosting, and occasional entertaining prep
∙ Assist with special projects and initiatives as they arise
Requirements
∙ 5+ years of experience in a private household or similar family assistant/house manager role
∙ Calm, loving presence with children of all ages and temperaments; equally comfortable with boys and girls
∙ Extremely organized, anticipatory, and composed under pressure
∙ Valid driver’s license; comfortable navigating NYC logistics
∙ Willingness to travel domestically and internationally
∙ Discretion and professionalism are non-negotiable
