Overview
A full-time estate manager is sought to support a busy family with a primary residence in Los Angeles, as well as additional homes in Ojai and San Francisco (the San Francisco property is currently under construction and managed by an Owner's Representative).
This is a fast-paced, hands-on role for someone who thrives on creating order, anticipating needs, and overseeing the day-to-day operations of multiple homes while managing the family's personal logistics. The role is based in Los Angeles and requires regular coordination across the family's other properties. Flexibility to travel to Ojai and San Francisco as needed is essential.

Responsibilities
Key Responsibilities:
Preventative Maintenance
- Maintain preventative maintenance schedules across all properties
- Manage vendors, service contracts, and warranties
- Coordinate routine inspections
Repairs & Property Upkeep
- Coordinate repairs from start to finish
- Obtain bids and recommendations
- Ensure quality completion of all work
- Manage renovation projects - keep on top of the project schedules and essential items like permits, etc., inventory management, tracking deliveries, reporting on progress, team coordination, etc.
- Make and implement a maintenance schedule for all properties.
Landscaping & Exterior Maintenance
- Oversee landscaping and irrigation
- Coordinate seasonal maintenance
- Ensure drainage and fire safety compliance
Multi-Property Coordination
- Prepare homes before family arrivals/ setting properties up for Summer/Winter.
- Coordinate household supplies, vehicles, mail, security, and pet logistics
- Ensure each residence is fully operational and guest-ready
Vendor & Project Coordination
- Manage household vendors and service providers
- Confirm appointments and oversee successful completion of work
- Coordinate installations, deliveries, and routine maintenance
- Oversee smart home systems and technology support
Household Operations
- Maintain household systems, inventories, documentation, and emergency contacts
- Budget management, maintenance schedules, permits, and HOA requirements
- Coordinate emergency repairs and time-sensitive issues
Childcare Infrastructure
Working alongside the family's nanny team:
- Coordinate childcare scheduling and backup coverage
- Support travel and medical logistics
- Ensure children's supplies and household readiness are maintained
Qualifications
The Ideal Candidate
You are an experienced estate manager who enjoys creating systems, solving problems before they arise, and maintaining exceptionally high standards. You are confident managing multiple priorities, comfortable leading household staff and vendors, and naturally take ownership without requiring close supervision.
You are discreet, proactive, detail-oriented, and genuinely enjoy making life easier for the family you support. You are also comfortable working in an active household with young children and understand the flexibility, patience, and adaptability that a family environment requires.
You have:
- Strong knowledge of household operations, maintenance scheduling, and inventory management
- Experience managing vendors and contractors
- Excellent organizational and communication skills
- A high level of discretion, professionalism, and integrity
Requirements
- Valid U.S. work authorization (U.S. Passport, Green Card, or Employment Authorization)
- Valid driver's license with a clean driving record
- Ability to travel between the family's residences as needed
- Exceptional attention to detail and follow-through
