Overview
Our UHNW returning clients are seeking a highly organized, tech-savvy Assistant Manager to support the day-to-day operations of their private estate in California, working alongside and in support of the Director of Properties. This role blends traditional estate management – staff coordination, vendor relationships, projects, and budgets – with comfortable, everyday use of AI tools and smart home systems to keep the property running efficiently.
You will report directly to the Director of Properties, who will support your growth in this role.
This is an ideal opportunity for someone with an estate management, hospitality, or property operations background who is naturally comfortable with technology and quick to pick up new tools and systems. You don’t need a technical or engineering background – just strong instincts around software, apps, and smart devices, and a genuine interest in using AI tools to make daily operations easier.
Key Responsibilities
- Estate Operations Management: Oversee daily household operations, staff scheduling, vendor coordination, and project timelines across the estate.
- Property Management Support: Assist the Director of Properties with broader property management duties, including budgets, expense tracking, administrative reporting, and coordination across multiple properties as needed.
- AI Tool Use & Support: Comfortably use AI assistants and tools (such as Claude) already in place to help manage schedules, communications, and repetitive administrative tasks for both the estate and property management functions.
- Smart Home Coordination: Oversee day-to-day use of the Savant Home system, ensuring climate, lighting, and media settings stay synchronized and working properly, and liaising with technical vendors when adjustments or repairs are needed.
- Process Improvement: Spot recurring pain points in daily operations and suggest or apply simple tech-based solutions to make things run more smoothly.
- Vendor & Technical Liaison: Coordinate with outside technical vendors and troubleshoot basic connectivity, smart device, and software issues as they arise, escalating more complex issues as needed.
- Team Support: Serve as a reliable point of contact for household staff, ensuring consistent, high-quality day-to-day operations.
Candidate Requirements
- Management Experience: Prior experience in estate management, property management, hospitality, or a similar coordination-heavy role is preferred.
- Tech-Savvy: Comfortable navigating apps, smart home systems, and AI tools in daily life; quick to learn new platforms without needing a technical background.
- Organized & Detail-Oriented: You take pride in keeping complex operations – and multiple stakeholders – running smoothly and consistently.
- Proactive Problem Solver: When something isn’t working efficiently, you look for practical ways, technical or otherwise, to fix it.
- Discreet & Reliable: Comfortable working within a private household, maintaining confidentiality and professionalism at all times.
