Role Overview
Responsible for the overall management of a luxury private residence, ensuring the smooth operation of all household functions, maintaining exceptional service standards, and overseeing staff, contractors, finances, property maintenance, and administrative support.
Key Responsibilities
- Direct the daily operation of the residence, ensuring all areas of the property are presented and maintained to the highest standard.
- Lead and support the housekeeping function, including laundry and garment care, while providing hands-on assistance whenever required.
- Recruit, supervise, train, mentor, and evaluate household staff, fostering a professional, service-focused environment built on discretion and attention to detail.
- Create staff schedules, manage holiday requests and absences, allocate workloads, and hold regular team meetings to ensure efficient household operations.
- Manage relationships with external suppliers, maintenance providers, and specialist contractors, obtaining quotations, negotiating services, monitoring budgets, and ensuring work is completed to the required standard.
- Coordinate all planned and reactive maintenance, keeping detailed records of repairs, servicing, refurbishment projects, warranties, and associated costs.
- Administer household finances, including budgeting, invoice approval, expense tracking, petty cash reconciliation, and management of household banking activities.
- Conduct routine inspections throughout the property to ensure presentation, cleanliness, safety, and maintenance standards are consistently achieved, with a strong appreciation for luxury interiors and design.
- Oversee household hospitality, including food purchasing, meal planning, and kitchen coordination, providing practical support whenever necessary.
- Maintain comprehensive personnel records covering recruitment, onboarding, training, performance, attendance, leave, and employee development.
- Provide administrative support for the household by coordinating calendars, appointments, meetings, and other day-to-day organisational requirements.
- Act as the primary liaison between principals, household staff, contractors, and service providers, ensuring clear communication and efficient coordination of all household activities.
- Manage wardrobes and oversee the care, organisation, and storage of clothing and accessories.
- Develop, maintain, and regularly update household procedures, operational manuals, inventories, and service documentation.
- Schedule and oversee servicing of all household systems, including electrical, plumbing, heating, gas, security, and other essential infrastructure.
- develop annual property care schedules, coordinating specialist contractors and routine servicing to preserve the condition, appearance, and functionality of both the residence and surrounding grounds.
- Take ownership of all household logistics, including receiving, dispatching, tracking, and organising deliveries, maintaining inventories, and ensuring household supplies remain fully stocked.
