Overview
A private family in Greenwich, CT is in search of a new personal assistant to join their team. The role is Monday through Friday and requires flexibility.
Responsibilities
- Oversee the maintenance and upkeep of all aspects of the family’s residential properties, including multiple properties in Connecticut
- Manage, hire, and supervise household staff and property managers tasked with the maintenance and upkeep of residential properties
- Support staff in their roles whenever necessary
- Maintain a google calendar for the properties and staff members to track and monitor their hours, and locations
- Source vendors and communicate objectives and instructions effectively to them
- Support the property management firm to orchestrate proper coordination of small and large renovations and capital improvement projects that align with the family’s vision and goals for their properties
- Approve construction scope, schedule, and budgets, including review of invoices
- Organize and create records associated with house repairs and construction; manage living documents such as house manuals
- Handle daily operations by interacting and engaging closely with vendors and staff to identify any issues and provide valuable solutions
- Manage communications, internally and externally, in a thoughtful way, keeping the principles meaningfully informed and ensuring that their priorities are understood by staff members and third parties
- Improve, develop, implement, and monitor protocols and policies to ensure the family’s expectations are met
- Meal planning
- Periodically assist with childcare, including transportation to appointments, scheduling activities, and providing supervision
- Efficiently use internal and external resources (e.g. do not solve every problem by doing it yourself)
Qualifications
- The successful applicant will be comfortable working with a small team to provide personal support in a fast-moving environment.
- Therole is best suited for someone who has attention to detail and can be proactive and thoughtful in designing processes, preventing problems, and driving follow up.

Requirements
- Bachelor’s Degree from an accredited college or university
- 7+ years of relevant work experience as a personal assistant or related field
- Demonstrated experience in maintaining the confidentiality, safety, security, and privacy of a discreet employer
- Excellent communication and presentation skills
